Respondent - Before You Begin
One of our clients has launched a 360° feedback program as part of a leadership development initiative. They have nominated you as a respondent because you regularly work with one or more of the participants and are well placed to provide meaningful feedback based on your experience.
Your observations, together with feedback from other respondents, help create a balanced and well-rounded view of the participant’s strengths and development opportunities. There are no right or wrong answers—honest, constructive feedback is what matters most.
Participation is entirely voluntary. If you prefer not to provide feedback or believe you have been included by mistake, please contact your Project Administrator or email us with the leader’s and project name.
Most 360° feedback surveys take approximately 10 to 20 minutes to complete, depending on the number of competencies, questions, and qualitative comments included in your organization’s assessment.
We recommend completing the survey in one sitting, but if enabled for your project, your progress may be saved automatically, allowing you to continue later.
Once you click Submit, your feedback is securely recorded and cannot be edited.
Your responses are combined with feedback from other respondents and used to generate the participant’s 360° feedback report. Individual responses are not shared separately and, where anonymity is enabled, are presented only as part of a respondent group.
If you can’t find your invitation email, first check your Spam, Junk, or Promotions folder. You can also search your inbox for “Dott 360 Admin”, admin@dott360.com, or your organization’s project name.

- Click Login in the top-right corner of the homepage.
- The Respondent Login page will open.
- Click Reset Password.
- Enter your registered work email address.
- Click Send Password.

There are two ways to access your Respondent Login page.
Option 1: Through your invitation email (Recommended)
Once your organization’s 360° feedback project is launched, you’ll receive an invitation email from Dott 360 Admin containing your username, password, and a secure Login button.
Simply click the Login button in the email. Please do not copy and paste the login URL, as it contains secure authentication parameters that help protect the platform from spam and automated attacks.
Option 2: Through the Dott 360 website
- Visit dott360.com.
- Click Login in the top-right corner of the homepage.
- The Respondent Login page will open.
- Enter your username (registered work email) and password.
Once you’ve logged in, you’ll arrive at your Feedback Dashboard, where you’ll see all the feedback requests assigned to you, including the participant’s name, your relationship with them, the survey due date, and the current status of each assessment.
Once you’ve logged in, you’ll arrive at your Feedback Dashboard, where you’ll see all the participants you’ve been invited to provide feedback for, along with your relationship with them, the survey due date, and the current status of each assessment.
To begin, click Yet to Start against the participant you wish to assess.
You’ll be guided through a series of behavioural statements. Select the rating that best reflects your observations. If your organization has included qualitative (open-ended) questions, click the question icon, type your response, and click Save.
As you answer each question, it will turn bold and blue, indicating it has been completed. Questions that remain in regular black are still unanswered.
Once you’ve completed all mandatory questions, including any qualitative questions, the Submit button will become active on the bottom-right corner of the page. Click Submit to securely send your feedback.
If your submission is successful, you’ll be redirected back to your Feedback Dashboard, where the assessment will now appear under the Completed Feedback tab.
If you can’t find your invitation email, don’t worry. It may have been filtered into your Spam, Junk, or Promotions folder.
Try searching your mailbox using any of the following:
- Dott 360 Admin
- admin@dott360.com
- Dott 360
If you still can’t locate the invitation, please contact your Project Administrator or HR team and ask them to resend your invitation. If you’re unsure who your Project Administrator is, contact our Support Team and we’ll be happy to help identify the right person.
If you’re unable to log in, try the following steps:
- Check your login credentials
- Your username is your registered work email address.
- Enter the password exactly as provided or generated through Reset Password.
- Make sure Caps Lock is turned off, as passwords are case-sensitive.
- Avoid copying and pasting your username or password, as hidden spaces or characters may be included. We recommend typing them manually.
- Pay close attention to similar-looking characters, such as the number 0 (zero) and the letter O (capital o).
- Clear your browser cache and cookies
Cached files or cookies may occasionally prevent you from logging in. Clear your browser’s cache and cookies, then try again.
- Try a different browser or device
If the problem persists, try signing in using another browser (Chrome, Edge, Safari, or Firefox) or a different device.
- Disable VPN, proxy, or browser extensions
VPNs, proxy servers, or certain browser extensions can sometimes interfere with the login process. Temporarily disable them and try signing in again.
If you’re still unable to access your account after trying the above steps, please contact your Project Administrator or the Dott 360 Support Team for assistance.
Survey link isn’t working?
Always access your assessment by clicking the Login button in your invitation email. We recommend not copying and pasting the URL, as the link contains secure authentication parameters that help protect the platform from spam and automated access.
If the link still doesn’t open:
- Try opening it in another browser such as Chrome, Edge, Safari, or Firefox.
- Clear your browser cache and try again.
- Try using another device or network.
If the issue continues, visit www.dott360.com, click Login at the top-right corner, and sign in using your registered work email and password.
Absolutely. In fact, we recommend completing your feedback on your mobile phone.
Dott 360 is built as a Mobile Web App, giving you an app-like experience directly in your browser—without requiring you to download anything from the Apple App Store or Google Play Store.
The mobile experience includes features such as:
- Viewing one question at a time for better focus, or multiple questions for faster completion.
- Automatic saving of your progress as you answer.
- A clean, responsive interface designed specifically for mobile devices.
Using a Mobile Web App also helps protect your privacy. Since there’s no app to install, you don’t need to grant access to your contacts, messages, photos, or other device permissions. Simply open the link from your invitation email or log in through www.dott360.com, and you’re ready to complete your feedback securely from anywhere.
For each behavioural statement, select the rating that best reflects how frequently you have observed the participant demonstrating that behaviour.
Answer each statement based on your own observations and interactions. There are no right or wrong answers—your honest perception is what matters most.
As you select a rating, the question will automatically be marked as completed. Completed questions appear in bold blue, making it easy to track your progress throughout the assessment.
Your organization chooses the rating scale that best fits its 360° feedback program. Depending on the project, you may see frequency-based, agreement-based, effectiveness, or other customized rating scales.
Each option is clearly described within the assessment. Simply choose the response that best reflects your observations of the participant’s behaviour.
If you’re unsure between two ratings, select the one that most closely matches what you have consistently observed rather than focusing on isolated incidents.
Some assessments include qualitative questions where you can provide examples, strengths, or development suggestions.
To answer these questions:
- Click the question icon next to the question number.
- A text box will appear below the question.
- Type your response.
- Click Save in the bottom-right corner of the text box.
Once your response has been saved successfully, the question will turn bold blue, indicating it has been completed.
Yes. You can change your responses at any time before you click Submit.
Simply return to the question you’d like to update, select a different rating or edit your written response, and click Save for qualitative questions.
Once you click Submit, your feedback is securely recorded and permanently locked. It cannot be edited by you, your organization, or even the Dott 360 team. This safeguards the authenticity and integrity of every response submitted.
Yes. Dott 360 automatically saves your progress as you complete the assessment.
If you need to stop midway, simply close your browser and return later. After logging in again, you can continue from where you left off without losing your completed responses.
This allows you to complete your feedback over multiple sessions if needed.
The Submit button becomes active only after all mandatory questions have been answered, including any qualitative (open-ended) questions required by your organization.
To identify unanswered questions:
- Completed questions appear in bold blue.
- Unanswered questions remain in regular black.
Review the assessment, complete any remaining questions, and the Submit button will automatically become active on the bottom-right corner of the page.
After clicking Submit, Dott 360 verifies that all your responses have been successfully received by our servers.
If your submission is successful, you’ll automatically be redirected to your Feedback Dashboard, and the assessment will move from Yet to Start or In Progress to the Completed Feedback tab.
If the assessment remains under In Progress, it usually means some responses were not received, often due to a temporary network interruption. Simply reopen the assessment, answer any questions still shown in regular black, and click Submit again.
Yes. In most 360° feedback projects, your responses are combined with feedback from other respondents before they appear in the participant’s report.
Individual responses are never identified by name. Reports present consolidated feedback to encourage honest, constructive, and unbiased input.
The level of anonymity may vary depending on how your organization has configured the project. If you have any questions about your organization’s settings, please contact your Project Administrator.
Your individual responses are treated as confidential.
Depending on your organization’s project configuration, authorized Project Administrators may have access to response data for project administration purposes. However, participants receive feedback only in the format defined by your organization, which is typically presented as aggregated or anonymous results rather than individual responses.
Dott 360 does not share your responses with anyone outside your organization
Protecting your data is one of our highest priorities.
Dott 360 uses secure, encrypted connections to protect information during transmission and follows industry-standard security practices for storing and managing assessment data.
Submitted responses are permanently locked and cannot be modified—not even by the Dott 360 team—helping preserve the integrity of every assessment.
Dott 360 is designed with privacy and data protection in mind.
Personal information is collected only for administering the assessment and is processed according to your organization’s requirements and applicable privacy regulations, including GDPR where applicable.
For detailed information about how we collect, use, store, and protect your data, please refer to our Privacy Policy or contact your Project Administrator.
In most projects, no.
Feedback is typically presented only after responses have been combined with those of other respondents, making it difficult to identify any individual’s feedback.
However, every organization defines its own confidentiality settings based on the purpose of the assessment. If you’re unsure how your project has been configured, please contact your Project Administrator.
Our recommendation is simple: provide honest, fair, and constructive feedback based on your observations. That is the purpose of a 360° feedback assessment.
Participant - Person Receiving Feedback
A 360° Feedback Assessment is a structured process that gathers feedback from people you work with regularly such as your manager, peers, direct reports, and other stakeholders -along with your own self-assessment.
It provides a well-rounded view of your strengths, development areas, and leadership effectiveness by combining multiple perspectives rather than relying on a single opinion.
The goal is to support your professional growth and create meaningful development conversations.
The process typically follows these steps:
- You are nominated as a participant.
- Respondents are selected to provide feedback.
- Respondents receive email invitations to complete the survey.
- Feedback is collected anonymously (Not if you are a +1 (Manager) or +2 (Manager’s Manager).
- The survey closes once the assessment period ends.
- Your responses are compiled into a confidential feedback report.
- Your report is shared with you for reflection, coaching, and development.
Throughout the process, you can monitor the overall survey progress from your participant dashboard (if enabled by your organization).
You’ve been selected by your organization to receive 360° feedback as part of a leadership, talent development, performance, or learning initiative.
The purpose is to help you better understand how others experience working with you and to identify opportunities for continued growth.
Participation is intended to support your development rather than evaluate or judge your performance.
Feedback is typically collected from people who regularly interact with you, which may include:
- Your Manager
- Peers or Colleagues
- Direct Reports
- Internal Stakeholders
- External Stakeholders or Customers (if applicable)
- Yourself (Self-Assessment)
The respondent groups included in your assessment are determined by your organization’s project administrator.
This depends on how your organization has configured the project.
Some organizations allow participants to nominate or update their respondent list before the survey begins, while others use a predefined list created by the project administrator.
If respondent nomination is enabled, you’ll receive instructions during the project launch.
If you need to request a change, please contact your project administrator before the survey closes.
In most 360° feedback projects, individual respondent identities are kept confidential.
Feedback is usually combined and presented by respondent groups score (such as Peers or Direct Reports) rather than identifying individual respondents.
This encourages honest, constructive feedback while protecting respondent privacy.
Please note that anonymity rules may vary depending on your organization’s assessment settings and minimum respondent requirements.
These should be a little more coaching-oriented than the previous section because the participant has completed the assessment and is now focused on growth.
If your organization has enabled participant notifications, you’ll automatically receive email updates from the Dott 360 platform showing the completion status of your 360° feedback survey.
These updates keep you informed about how many respondents have completed their feedback and the overall progress of your assessment, helping you know when sufficient feedback has been received and when your report is likely to be generated.
This depends on how your organization has configured the 360° feedback project.
Some organizations allow participants to see which respondents have completed their feedback, while others display only the overall completion status. Many organizations choose not to reveal respondent names to maintain confidentiality, encourage honest participation, and preserve the anonymity of the feedback process.
If you’re unsure which option has been enabled for your project, please contact your Project Administrator or HR team.
In most Dott 360 projects, participants cannot send reminder emails directly to respondents. This feature is intentionally disabled to protect respondent privacy and reinforce the anonymity of the feedback process.
By managing reminders centrally, organizations help create a greater sense of psychological safety, allowing respondents to provide honest and candid feedback without feeling individually followed up by participants.
In most cases, reminder emails are sent automatically by the Dott 360 platform or managed by your Project Administrator, who can schedule and send reminders to respondents who have not yet completed their feedback.
Yes.
Survey deadlines can be extended if additional time is required for respondents
to complete their feedback.
Only
your Project Administrator has permission to change the project timeline. If
you believe an extension is needed, please contact your Project Administrator
before the survey closes.
For questions about your organization’s 360° feedback process, respondent selection, project timelines, or report availability, please contact your Project Administrator or HR team.
If you’re experiencing technical issues such as login problems, survey access, or platform errors, you can also contact the Dott 360 Support Team through our Help Center.
Your 360° feedback report becomes available immediately after the project is officially closed. Dott 360 automatically generates all reports in real time. There is no manual processing or intervention required.
The exact timing depends on your organization’s assessment schedule. Once the project closes, your Project Administrator will notify you, and your report will either be emailed directly by the Dott 360 platform or shared by your Project Administrator, depending on how your organization has configured the project.
Your report may be shared in one of the following ways:
- Downloaded from the Dott 360 platform
- Sent via email
- Shared by your HR team, manager, or coach
The delivery method depends on how your organization has configured the assessment.
Your report provides insights into how others perceive your workplace behaviours and compares them with your self-assessment.
As you review your report, focus on:
- Your highest-rated strengths
- Development opportunities
- Differences between your self-ratings and others’ ratings
- Consistent feedback patterns across respondent groups
- Qualitative comments and suggestions
Rather than focusing on individual scores, look for recurring themes that can guide your development.
Your Cohort Average ( CA) / Benchmark scores help you understand how your results compare with a relevant comparison group, such as all participants in the project you are associated with, your organization, business unit, leadership level, or an external benchmark.
They provide additional context to help you identify areas where you’re performing strongly and where there may be opportunities for improvement.
Your report will indicate which benchmark has been used, if applicable.
A good development plan focuses on a small number of meaningful improvements.
We recommend that you:
- Identify two or three key development priorities.
- Set clear and measurable goals.
- Define specific actions you will take.
- Seek regular feedback from your manager, coach, or colleagues.
- Review your progress periodically and adjust your plan as needed.
Sustainable improvement comes from consistent practice over time.
This depends on how your organization has designed its 360° feedback program. We recommend checking with your Project Administrator or HR team for guidance.
Some organizations leave it entirely to the participant to decide whether they would like to discuss their report with their manager or coach. Others make a debrief discussion a mandatory part of the development process. The approach usually depends on the purpose of the 360° feedback program and your organization’s development philosophy.
If you do discuss your report, consider the following:
- Be open to different perspectives and feedback.
- Recognize and build on your strengths.
- Ask questions to better understand the feedback.
- Focus on future development rather than past performance.
- Agree on practical development goals and next steps.
The most valuable conversations are those that lead to greater self-awareness, meaningful development, and sustained behavioural improvement.
Your report is a starting point for ongoing development and not an end point.
Use it to:
- Build on your existing strengths.
- Improve behaviours that have the greatest impact.
- Create personal development goals.
- Support coaching or mentoring conversations.
- Track your progress over time.
The greatest value comes from turning feedback into meaningful action.
Many organizations repeat 360° feedback assessments every 6 to 12 months, depending on their leadership development programs.
A follow-up assessment allows you to:
- Measure progress against your development goals.
- Identify new strengths and opportunities.
- Evaluate the impact of your development efforts.
- Continue your leadership growth journey.
Your organization will determine the appropriate assessment frequency.
Your organization may provide additional development resources such as:
- Coaching sessions
- Leadership development programs
- Learning modules
- Workshops
- Reading materials
- Internal learning platforms
If you’re using Dott 360, you may also have access to development guides, competency resources, and learning recommendations associated with your report.
If you’re unsure where to begin, speak with your manager, coach, or project administrator for guidance.
